[How to take notes at work] There are 4 points to take notes on what you need to know in one go, so you don't have to ask it over and over again! (Job notes from my 6th year of work)

It's already been 6 years since I graduated as a new graduate. I have used many tools, management screens, documents, etc. on my computer, but in order to use them quickly, without making mistakes, and to only carry over once, it is important to take notes.

I'm still an inexperienced person, so I apologize for the inconvenience, but I received a request on Instagram DM and YouTube, so I explained what I've noticed over the past 6 years about how to take notes. Please let me know your method as well!

Types of work notes

I use two types of work notebooks.

One is a manual notebook for work that has a set procedure or method. The other is a notebook for when you want to organize your mind.

This time, I'll introduce you to some points that will help you write down all your notes in one go for tasks that have a set procedure or method.

There are 4 points to note

I try to listen carefully to the following four points when taking notes.

  1. What is the business for?
  2. What things and environment do you need?
  3. procedure
  4. Notes

As long as you keep these four things in mind, you'll be fine.

What is the business for?

By understanding in advance what the correct answer will be in the end, it will be easier to understand the tasks that will be handed over and the tasks to be considered.

What things and environment do you need?

When it comes time to do your work, if you stop and think, ``Oh, I can't do it without that document,'' or ``I have to go take pictures of this machine,'' it will be inefficient and prone to mistakes.

procedure

After listening to the procedure, take some time and try to simulate it in your mind. When you do a simulation, you can find out small unknown points such as "Oh, does this price include tax? Does it exclude tax?"

Notes

This is the most important item. It's so full of steps that I tend to miss it, but it's something you should definitely listen to.

There are three types of precautions; the first is "Points to note when doing business" and make notes. When I hear stories of failures, the things I need to be careful about become clear to my eyes.

The second is "Points to note to avoid mistakes." Ask who will double-check the work, whether they will visually check it when you do this work for the first time, and whether there are tools to detect mistakes.

The third and final point is "What to watch out for when you make a mistake." All humans make mistakes. In order to avoid losing your temper and causing a secondary accident when you make a mistake, be sure to check in advance how to respond when you make a mistake.
