How to review your work and take notes when you're feeling down

Hello, this is Ten, the manager.

Today I'll be introducing how to write a notebook to organize your work when you're bored!
I'm glad if you can use it as a reference.

Patsuri sign

When you're starting to gain strength, don't you realize it yourself? I'm the type of person who only realizes, ``Oh, that's terrible...'' after I get really angry...

First of all, I would like to check for signs just before a failure occurs and be able to take action as soon as possible.

Super personal characteristics of me

  • Overtime is gradually increasing
  • Every day, I start to have a mindset of “I’m anxious, so let’s do a little more.”
  • It's hard to wake up in the morning
  • I get irritated when new tasks come up

If at least two of these apply to me, I change my mind and think, ``It's about time. Let's organize my work.''

Now, I'd like to introduce how I organize my work when I'm actually stuck.

Understand the current situation

First, understand the current situation.
I'm going to reevaluate what work is taking up my time and whether that work is something I need to do right now.

It's easy to do: just draw a matrix with the frequency of the task, whether it's required or optional.

I will write down my current job details there.

Then...

Top right (frequent & required)

Work that must be done, frequently, and takes up a lot of time

I will review whether I really need to do it myself, whether I can hand it over to someone else, whether I can at least share it with someone else, whether I can automate it, whether I can make it more efficient, and so on to reduce the frequency and time it takes.

Top left (frequent & optional)

You don't have to do it or not, but it's a job you should do. And the frequency is high.

This is usually the cause of the breakage. You may be taking someone else's work and continuing to do it, you may be doing it because you feel self-satisfied and don't want to do it, or you may be doing things unnecessarily because you're worried about whether you'll achieve your goals...

However, the more I can do this, the more proof I am able to take on challenges other than my current one, so I don't think having a lot of tasks is a bad thing.

When I'm feeling down, I think it's important to reduce the frequency of my work or decide not to do it for a certain period of time.

If you review your tasks one by one like this, the tasks you need to concentrate on will remain in the upper right corner.

getting closer to the ideal state

Ideally, the top right corner (work that must be done every day) is empty. When this place is empty, I have more time to work, so I can do each job carefully and I think I'll try new things.

The top right corner is empty, but if you're somehow busy every day and don't feel satisfied with your work, I think the top left corner is full.

Your days may be consumed with tasks that you don't have to do or do, and it may be difficult to achieve results, so please take a look at the tasks in the upper left.

Then, when you have more free time at work, you might be able to get better results by doing the tasks on the bottom right (works that need to be done once in a while) more frequently. Or consider automating it and removing it from tasks.

lastly

I introduced how I organize my work, even though it is essential to prioritize work and improve efficiency at work, I tend to just deal with the work in front of me without thinking about it. .

I'm glad if you can use it as a reference.
