Two years ago, my boss at the time told me, ``I have no idea what this document is trying to say.'' I thought he was good at creating materials, so I was really shocked .

At that time, I believed that the design accounted for 90% of the ease of understanding a document, and I paid attention to things like simplicity, image layout, and legibility of text when creating materials.

Why do we create materials that are difficult to understand?

Why is my material so difficult to understand in the first place? I faced it from this point. According to the results, the causes were ``the order of explanation was incorrect'' and ``the necessary graphs and numbers were missing.''

In other words, the material is difficult to understand because it has no story.

So why does it end up being incoherent material with no storyline? That's because we haven't drawn up a blueprint .

I think that when you start creating materials, you suddenly turn on your PowerPoint and worry about creating it, which is like building a house without blueprints.
It is important to properly determine the requirements for materials, and the items that must be determined are:

  • Who do you make it for?
  • What do you want to happen when you look at this document?
  • How should I configure it?

I think so.

The foundation of easy-to-understand materials is the “design drawing”

Basically, it is better to limit the creation to one person (or one attribute).
I feel that if you use both materials that you want to share with your team and materials that you want to report to your boss, you tend to end up with materials that you don't know what you want to say.

Since everyone on the team works together on a daily basis, there is a lot of common language, and there are many things that can be communicated without having to be written in detail.

On the other hand, the boss only understands the work based on reports, so it is necessary to summarize the prerequisites, such as the meaning of each word.


And the material structure is disgusting.
Please think carefully about what information to convey in what order and with what kind of visual information. Try changing the order, or actually drafting it on paper or simulating it in your mind to see if it is correct for the necessary numerical data to come out in this flow and at this timing.
I feel like this will allow me to create easy-to-understand materials very quickly.
